Coordea is currently looking for a motivated Order Specialist to join our team!
As an Order Specialist, you will be a vital member of one of our client teams, supporting a business that supplies essential disposable products to the healthcare and production industries across Sweden and Scandinavia.
To succeed in this role, you are detail-oriented, analytical, customer-focused, and eager to solve problems while maintaining strong communication with clients and colleagues in Sweden.
Office: Tetovo or Skopje
Responsibilities
- Review and enter customer purchase orders into the ERP or order management system accurately and promptly
- Validate order details including pricing, terms, product availability, and shipping instructions
- Serve as the main point of contact for order-related inquiries and provide proactive customer support
- Collaborate closely with sales, logistics, warehouse, and supply teams to ensure order fulfilment and on-time delivery
- Handle order discrepancies, delivery delays, and returns with professionalism and efficiency
- Provide customers with order confirmations, shipping updates, and issue resolution
- Investigate and resolve issues related to invoicing, payments, or credit holds
- Maintain accurate records of sales orders, logistics processes, and customer interactions
- Generate and analyse order status reports, backlog reports, and KPIs related to order processing
- Conduct sales analytics, logistics analytics, and trend analysis to support continuous improvement and provide insights for decision-making
- Ensure all orders comply with company policies and legal/regulatory requirements
Requirements
You could have a degree in international trade and logistics, or similar, and still be able to apply if you meet the following expectations:
- Fluency in English and being able to communicate freely with the client for their everyday business needs. Additional languages are plus;
- Strong proficiency with Microsoft Office and the ability to learn new software quickly
- Experience working in sales, logistics, or order management
- Analytical thinker with strong problem-solving skills and attention to detail
- Ability to work effectively both in a team and independently
- Strong organizational and communication skills
